Being an Accounting Project Manager with PIVOTL

Job Brief

The accounting project lead is a new role that we are developing at the company. We are looking for someone with accounting knowledge and project management experience to help us coordinate and execute on client clean-up projects of their accounting systems (QuickBooks). The role will require developing a plan from a company-supplied audit, creating a timeline, communicating the timeline, and coordinating with different departments to execute on the project timeline. After the project is completed then team members will help transition the books to a recurring bookkeeping team.

 

Responsibilities

Project Management:
- Lead and manage accounting and financial projects from initiation through completion.
- (Develop and Maintain Project Timelines and communicate them to the client and leadership team if they are on track or off track and resources needed to complete the project)
- Track progress, identify risks, resolve obstacles, and ensure project milestones are met or if not communicate the miss and identify where the breakdown was for better future performance.
- Facilitate regular project meetings and provide status updates to leadership.

Financial Process & Systems Improvement:
- Analyze current accounting processes to identify inefficiencies or compliance gaps.
- Implement process improvements and automation initiatives
- Work closely with IT and finance teams to improve financial reporting tools.

Technical Accounting & Compliance:
- Maintain accurate project financial records and ensure proper documentation.

Cross-Functional Collaboration:
- Partner with accounting, finance, operations, and executive teams to align project goals.
- Communicate technical accounting concepts to non-financial team.
- Coordinate with external vendors, consultants, and service providers as needed.

Reporting & Analysis:
- Prepare financial analyses, dashboards, and reports related to project performance.
- Monitor project budgets and forecasts; flag variances and recommend corrective actions.
- Ensure reporting accuracy and timely delivery to senior management.

Skills & Requirements

Education & Experience:
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field (CPA or CMA preferred).
- 3–7+ years of accounting, finance, or project management experience.
- Proven experience with Virtual accounting and assisting US Clients
- Experience leading projects or process improvement initiatives

Skills & Competencies:
- Strong knowledge of Accounting and internal controls.
- Proficiency with accounting software (e.g., QuickBooks) Experience in Service Titan is a PLUS
- Excellent project management skills; (familiarity with Keeper / Double is a plus)
- Advanced Excel and data analysis capabilities.
- Strong communication, organization, and problem-solving skills. (Very Fluent in English)
- Ability to manage multiple priorities in a fast-paced environment. (Manage and report on Projects)
